  Failure to adhere to these policies will result in a warning.

  Repeated violations may lead to loss of access.

Scheduling and Access

  1. • Before using any resource, new users must request access to the facility staff.
  2. • Users must have a valid reservation in a system before using it.
  3. • Users must use their own booked time and not book or use a resource using Agendo credentials from another user.
  4. • Training to become an independent user is provided upon evaluation by staff, depending on usage frequency and total usage time.
  5. Usage restrictions and scheduling tolerance will differ between systems, but do not apply for weekends, for working days before 9h00 or after 18h00, and for bookings made 24h before (please email us to book a system if it is available in the next 24h, even if it exceeds your weekly limit - Agendo will not let you book).
  6. Authorized trained users can access the facility 24 hours, 7 days a week.
  7. • Regular operation hours for Training, Assistance and Consultations, are from 9h00 to 17h30, (with a 1h break for lunch).

Equipment Usage

  1. • Please remove gloves before entering microscopy rooms
  2. • Users must follow the turn-on and turn-off procedures for each system (when in doubt, please contact us).
  3. • Users must check if there is a booked user after their session in the booking system and follow the turn-off procedure accordingly.
  4. • Users must warn the previous user or shutdown the system themselves if they cancel a reservation less than one hour before its start.
  5. • Users must leave the equipment and surrounding space clean and ready for the next user.
  6. • Any negligent use of the system must be reported via Agendo (incident report), email or directly to staff. Examples of negligence:
    1. - sample left in system (please request assistance from staff in advance if needed)
    2. - dirty optics (e.g. dry objectives with immersion oil)
    3. - incorrect log-off procedure
    4. - altering system configuration without authorization (e.g. changing objectives)
    5. - installing software without authorization
    6. - using facility computers for purposes other than checking protocols, managing bookings in Agendo, image acquisition, image analysis and processing.

Acknowledgements and Authorship

  1. • Facility usage must be acknowledged in all publications involving facility staff or equipment. Please check How to Acknowledge Us.
  2. • Before submitting a paper, please discuss with the facility if all technical aspects are properly described.
  3. Authorship should be discussed on a case-by-case basis and defined prior to manuscript submission. Assistance above the technical or routine level, with any facility staff providing relevant scientific input in experimental set-up, acquisition or analysis should be recognized through co-authorship on resulting publications (please consult example scenarios with baseline recommendations from the Royal Microscopy Society Imaging Facility Guidelines).
  4. • Granting equipment access, training and routine level assistance do not warrant co-authorship in publications from any of the facility staff.
  5. • Equipment usage is charged regardless of staff co-authorship in resulting publications.

Data Handling

  1. • Users are responsible for backing up their data.
  2. • No backup is offered in the facility computers even for short term and no responsibility can be attributed to the facility in case of data lost.
  3. • Data is automatically deleted from the acquisition and processing PCs without further notice typically after 1 month, but each system might have different policies. Please check in the wiki, system desktop or with staff.
